Write a message once, and Overviu sends it to every guest of the listing at the right moment: arrival details a few days before check-in, a reminder the day before checkout, a thank-you after. Each listing has its own messages, on its Messages tab.

Before you start

  • Messages go by email, so the booking needs the guest’s email address.
  • They go to bookings whose source is Direct, Manual or API, and that are Pending, Confirmed or Completed. Bookings marked as from Airbnb, Booking.com, Vrbo or Expedia don’t get them: those sites message their own guests.

Open the listing's messages

Open the listing → Messages. For a building, set them up on the building: they go to guests of every apartment in it.

Start from the suggestions

On a listing without messages, click Add suggested messages. You get four, switched off: Arrival details, Welcome, Checkout reminder and Thank you. Or click New message to write your own.

Write the message

Click Edit on a message and set:
  • Name: only you see it, like “Arrival details”;
  • Send: when it goes (see below), with the number of Days and the time (At (listing time)) for timed messages;
  • Subject and Message: use Insert placeholder to add booking details, like {guest_first_name} or {check_in_time}.
Preview shows the message filled in for the listing’s next booking (or sample details), and Send me a test emails it to you. Click Save message.

Switch it on

Messages start switched off. Click Switch on. If some upcoming bookings are already past the message’s time, Overviu tells you how many would get it straight away.

When messages are sent

Times are in the listing’s timezone. A booking made after a “before check-in” time has passed still gets the message straight away, up to arrival; a “before checkout” one up to departure. “After checkout” messages never catch up.

Placeholders

The address, door code and Wi-Fi only show once the guest has finished online check-in. Before that, the email says “Finish your online check-in to see this”, with a link to their booking page.

Copy messages to other listings

Click Copy to other listings on a message and pick the listings under To. Copies start switched off, so you can check them first.

Messages on a booking

Each booking’s Messages section lists its messages: Upcoming, Sent (with the address it went to), Skipped or Failed. Click View to read what was sent, Send now to send an upcoming one early, or Skip to not send it to this guest. A message is skipped, with the reason, when it no longer fits: it was switched off or deleted, the booking was cancelled or is still awaiting payment, and so on. Switching a message back on brings back the sends it skipped for being off. If a message can’t be sent, your team gets a Guest message not sent email. Guests’ replies arrive in your inbox.
