# Change a booking

> Change a booking's dates, number of guests, guest details or notes, or move it to another unit.

Plans change: a guest wants an extra night, brings a friend, or has a new phone number. Change the booking in Overviu, and it re-checks the dates, re-prices the stay and settles the difference.

## What you can change, and when

| Booking | What you can change |

| **Pending** | Everything: dates, guests, guest details, notes. |
| **Confirmed**, before check-in | Everything. |
| **Confirmed**, guest staying now | Extend the check-out only; the check-in and shorter stays are locked. Guests, details and notes as usual. |
| **Awaiting payment** | Guests, details and notes; not the dates. |
| **Completed** or **Cancelled** | Nothing. |

Bookings whose source is **Airbnb**, **Booking.com**, **Vrbo** or **Expedia** can't be changed in Overviu, only cancelled: change them on that site.

## Change the stay or the guest

    Go to **Bookings**, open the booking and click **Edit**.

    * Pick new dates in **Check-in → Check-out**. For a guest staying now, use **Extend check-out to...** instead.
    * Change the **Number of guests**.
    * Under **Guest**, change the **Name**, **Email** or **Phone**.
    * Change the **Special requests**, the **Notes** (a summary kept on the booking for your team) or the **Source** (**Manual** or **Direct**).

    While you edit, **New price preview** shows the new total, and whether the new dates are free.

    Click **Save**. If the new dates aren't available (booked, too short for the minimum stay and so on), Overviu says why and changes nothing.

## The price difference

New dates or a different number of guests re-price the booking with the listing's current prices. When the guest paid online, Overviu settles the difference through Stripe:

* The stay costs more: if a balance is still waiting for its date, it simply grows. Otherwise the guest gets an invoice by email for the difference.
* The stay costs less: Overviu refunds the guest by the listing's [cancellation policy](/calendar/prices-and-rules#cancellation-policy), as if the nights given up had been cancelled on that day. Unpaid invoices are replaced by one for what's still owed.

When the guest paid you outside Overviu (cash, bank transfer), Overviu doesn't refund or invoice: the booking's **Timeline** notes what's due back, and you settle it with the guest yourself.

If Stripe has a problem, the date change still stands and the **Timeline** says what went wrong.

## Move a booking to another unit

For a unit in a building, click **Move to another unit** on the booking and pick a unit. Only units of the same type that are free for the whole stay are listed. The guest, dates and price stay the same.

## Notes

The **Internal notes** section of a booking is for your team only: guests never see it. Add a note whenever something's worth remembering; each is kept in the **Timeline** with who wrote it and when.
